BTW - i just realized that I had the wrong 'hours' on some of the events. that would explain some of my issues. I was running them for 2, when they are really 4. duh.

Only Novice is 2 hours. Intermediate could be 2 or 4, I'd suggest 2. All our "main" events are 4 hours.

yeah I realize that now, so I'm looking at the various suggestions with these appropriate numbers.

I was trying to figure out why we always ate so late if we were done by '8', but I was wrong, its done by 7. so now we are talking about things like battlefest being from 7-11 instead of 6-10. I don't have a problem with it, it'll make the shareholder meeting be really late, but it should be short this year.

FYI, here is the current plan for events. This could be covered by 1 person, but 3 would be easier. I think tiffany,me,brad + three (John,Dave,Mike?) could do it, but the more the merrier.

Novice -
Thur 10,2,7
Fri 10,2,7
Sat 10,2,7
Sun 10,1

Intermediate -
Thurs 4,9
Fri 4,9
Sat 4,9

No Magicians - Thur 12
Single Race - Thurs 7
Fire in Sky - Fri 12
Sealed - Fri 7
Worlds - Sat 12
Battlefest - Sat 7
Don't Stray from the Path! - Sun 12 (take a guess)

we will submit all these and its up to Gencon what they accept.

ok, no hurry. I told dave the same thing, but after further discuss he pulled the trigger.

If we have to we've done Gencon with only 4 people before, its not fun but its possible.

Brad is the only email I had (that rubi could find), so he's currently the GM of all events. we may change that as we get closer to gencon.

The following is a re-cap of some e-mails between Cliff, Dan, and Russ.

Cliff: "I know its early, but did you have a thought of what type of events or when you wanted to volunteer?"

Daniel: "I volunteered for the "Sealed Starter" event last year, and would be happy to run that again. I'm not certain what "Intermediate" events are planned, but I wouldn't mind running a "Constructed Starter" event.

Russ: "I helped in the novice events last year – I recall a huge 20-person event which was great (Sealed Starters) – and that’s A-OK (although some of the trickier questions I referred to Dan). I’m generally OK with intermediate, but would definitely need a more experienced referee. Booth demos and Q/A are fine, too. I’m helping Dan at Dreamation this month, so I’ll be able to polish up my refereeing (and icon-recognition skills).

Cliff: "Also I know you had some suggestions last year of things to help promote the game at the booth. Now is the time to start any plans of things we will want to do differently. Unfortunately our game doesn't require anything like a ruler and army cards or bags cost too much to just give away. Any thoughts or comments you want to make?"

Daniel: "Russ had suggested a "post card"-sized handout with the company contact or ordering information, which would be easy to tuck away. I might go one step further with the "post card" and add a one-time post-convention discount of 5% off your first order from SFR (that can't be combined with any other discounts or offers)."

Russ: "Or free shipping - or extend the GenCon “special” (I recall it was a special die with purchase of ….). Or offer them 10% off overstocks (or slow-selling starter sets). Or something to induce them to at least provide their e-mail (to follow up with something in the months ahead). Whatever you decide, put an expiration date on the offer of August 31, 2010 on it. You don’t want that floating around 3-4 months later. The idea being that you want them to look at your website when they get home and give them an incentive to purchase something."

Daniel: "I'm also entertaining some ideas that use card sleeves. This past Xmas, I made up some "player cards" from pictures I had taken over the years and mounted them in card sleeves with an opaque back. I've used them to help determine sides and/or sequence of play, etc. I'll see what I can muster from my previous GENCON galleries. I'm thinking the card sleeves could also be used with pictures of the different races for "local" prizes for capturing a specific terrain. The sleeves could be randomly laid face down underneath each terrain in a demo or novice event, and when a player turned up the 8th Face, they would win the "local prize", regardless of the outcome of the match. The "local prize" could be a die from the race depicted in the card sleeve (or you could even go so far as adding it into the game right then and there, letting the player keep the die). I'm just brainstorming right now, but that would add a bit of "spice" to a Novice game or Intermediate game event."

Russ: "Now, that’s a great idea for newbies (sealed box tourney, etc). Need 3 dice per game times number of games over the weekend. Let them keep the card and the die in exchange for their snail mail and e-mail addresses."

I will really try to make it this year. The last few I've had armies set and packed only to have work shoot down the vacation time, but with 5+ years I have 40+ hours of vaca and 40+ sick. I'll be sure to save the dates and put in early. I would be happy to help out if I can make it there this year.

Intermediate is basically a constructed starter, an advanced demo. its whatever dice we give them (all starter dice) with all rules. so in the novice tournament we use 18 health for each player, ie half a starter. For intermediate you give(not give, but loan) each player a full starter and they play with all rules and all spells. I think we have 7 of these spread through out the weekend.

I could use either of your help, possibly in the booth more than the events, but we will schedule as we get closer depending on MikeD and others. Let me know what times you are definately unavailable.

I had thought about little buttons with the SFR logo on them. using them for a novice tournament participation prize and it is basically a onetime use 'coupon' during the con (scratching the back to show usage). Something like buy a starter get a polybag, ie instead of just giving a poly bag to everyone who plays, make it a bonus for purchasing and they get to keep a button.

However, you mention getting an email address... if we gave them a postcard (with instructions), we could have them give us their email address during gencon. Then we would have a way to control that the post gencon deal was only used one time. We have them email us their paypal account email and we set them up for a one time special (manually) and then we know they won't double up... hm...

Hmm, try it out at your Con and let me see how it goes. We have time before Gencon to setup something if you think it has good potential during that test run.

How much lead time do you think you would need before you know for sure or not? Just so we don't do planning too early or too late.

FYI - we passed the next hurtle a while back. based on previous attendance each event is limited to 12 players, thus we will probably get 6 tables in the event hall, but should be the same three tables all weekend long.

If we happen to go over 12 players they said to inform them at the desk that we are spilling over.
